Privacy Policy

Effective October 30, 2026

The Lakeshore Camera Club ("LCC", "we") is a photography club in Pointe-Claire, Québec. This policy explains what personal information we collect through our public website, lccphoto.org (in English and French), and our members-only website, Dynamic Range (dynamicrange.lccphoto.org), how we use it, and who can see it.

Who to contact

Questions, requests and concerns about your personal information go to the person responsible for privacy at the club, the President (or the person the President designates): web@lccphoto.org.

What we collect

When you register or renew your membership: your first and last name, email address, username and password (stored in scrambled form, never as readable text), mailing address, city, postal code, phone number(s), membership type (single, couple or student; full or half year), whether you live in Pointe-Claire, your areas of interest, how you heard about us, and whether you'd like to help with the club. We also keep a record of your membership years, payment method and amount. Membership fees are paid by Interac e-Transfer or cheque; our websites never ask for credit card or bank account numbers.

In your member profile (optional): a profile photo, a short bio, a mobile phone number, your website and social media links, and the camera gear you use.

When you take part in club activities: the photos you submit (to competitions, challenges, galleries and classified ads) and their titles; judges' scores and comments on competition entries; and blog posts, comments and classified ads you publish. Photo files can contain information recorded by your camera (such as camera settings, and the location if your camera or phone recorded it); we store some of this information with the photo, so remove anything you don't want to share before uploading.

When you use the contact form: your name, email address, subject and message. Messages are emailed to the club and also kept in our website system.

When you visit our websites: our servers record technical information such as your IP address, and our anti-spam tool uses it to block abusive form submissions. See also "Cookies and third-party tools" below.

How we use it

To run the club and your membership: registering and renewing members, keeping member records and payment history, giving members access to Dynamic Range, organizing meetings, competitions, challenges and events, publishing results, and answering your messages. We also use your email address to send you club emails (see "Newsletter and club emails") and use technical information to keep our websites secure.

Who can see your information

Anyone, on our public website: competition results show each photo with its title, its placing and the photographer's full name. The rotating banner on our home page shows top-placed competition photos with the photographer's name. The Contact page lists the names of executive members and their club email addresses. Public pages can be indexed by search engines.

Other members, on Dynamic Range (login required): the member directory shows your name and profile photo. Your profile shows your bio, photo, website and social media links, camera gear and, if you added one, your mobile phone number. Your email address is shown only if you choose to display it in your settings. Members can also see the photos, posts, comments, classified ads and competition entries you publish there.

Club volunteers: executive members and volunteers who manage membership, finances, competitions and communications can see members' registration details, including contact information, and can download member lists to do their club work. Competition judges see the entries they judge.

Service providers that run our websites and email for us:

  • DigitalOcean and ServerPilot: website hosting
  • Amazon Web Services: website backups
  • Mailgun: sending website emails
  • Mailchimp: our newsletter
  • Google Workspace: club email accounts and shared files

These providers may store information outside Québec and Canada, including in the United States. We do not sell or rent your personal information.

Newsletter and club emails

The website sends you emails needed for your membership, such as account, renewal and payment confirmations and competition reminders. When your membership is activated, your name and email address are also added to the club newsletter list in Mailchimp. You can unsubscribe at any time using the link in any newsletter. If your membership lapses, you are removed from the list; if you rejoin later, you are added again and can unsubscribe again.

Cookies and third-party tools

Our websites use cookies that are needed for them to work: a security cookie on forms, and a session cookie (plus an optional "remember me" cookie) when you log in to Dynamic Range.

Some pages of our websites also load tools from other companies, which can receive your IP address and may set their own cookies:

  • Google Analytics (all public pages)
  • Facebook (home page)
  • Google Maps (home page and Contact page)
  • jsDelivr, a service that delivers website code (registration page and some Dynamic Range pages)

You can block or delete cookies, and block these tools, in your browser settings or with a content blocker, but some features (such as logging in or registering) may then stop working.

Our websites also link to other sites (for example Facebook, Instagram, Flickr and Webex). Their own privacy policies apply when you visit them.

How long we keep it

  • Former members: we delete their contact details (address, phone numbers and email) within 2 years after the end of their last membership year.
  • Contact-form messages: deleted after 1 year.
  • Competition results: photo titles, placings and photographers' names are kept as part of the club's history.
  • Website backups: kept for up to 90 days, so deleted information can remain in a backup until it expires.

Security

We protect personal information with reasonable measures: secure connections (HTTPS), scrambled passwords, a login for Dynamic Range, and access to member records limited to the volunteers who need it. No website is completely secure, so we cannot guarantee absolute security.

Membership is for adults

Club membership is open to adults (18 and over). Our websites are not intended for children.

Your choices

You can:

  • see and update most of your information yourself in your Dynamic Range settings;
  • choose whether to show your email address to other members;
  • unsubscribe from the newsletter at any time;
  • ask us to send you a copy of the information we hold about you, or to correct it;
  • ask us to delete your information, or to remove a photo you submitted from our public pages. We may keep what we need for membership and financial records, and competition history.

Write to web@lccphoto.org.

Changes to this policy

We may update this policy. We will post the new version on this page with its effective date, and tell members about important changes by email.
